Assistant Facilities Manager

Job Type: Full-Time

Hubflow is seeking a proactive and organised Assistant Facilities Manager to support the day-to-day operation of our serviced office portfolio. This hands-on role is responsible for ensuring our workspaces remain safe, professional, and welcoming while delivering an excellent experience for members and visitors.

The successful candidate will work closely with the Facilities Manager to maintain high operational standards, coordinate contractors, and respond efficiently to the changing needs of the business.

Key ResponsibilitiesFacilities Operations

  • Support the day-to-day management of facilities across multiple London locations.
  • Coordinate routine and reactive maintenance, ensuring issues are resolved promptly.
  • Assist with the upkeep of building systems, including mechanical, electrical and HVAC services.
  • Receive and post deliveries to members and internal teams.
  • Reset meeting rooms to a high standard between bookings.
  • Maintain the Success Lounge and communal areas, ensuring they remain clean, stocked, and presentable throughout the day.
  • Stay on top of operational tasks and respond promptly to member and colleague requests.

Contractor & Supplier Management

  • Coordinate contractors and service providers for maintenance and repairs.
  • Monitor contractor performance and ensure agreed service standards are achieved.

Health & Safety

  • Support compliance with health, safety, and environmental regulations.
  • Assist with safety inspections, risk assessments, and emergency procedures.
  • Ensure facilities remain compliant, safe, and well maintained.

Projects & Workplace Management

  • Assist with office moves, refurbishments, and workspace changes.
  • Support space planning and workplace improvement initiatives.
  • Help identify opportunities to improve operational efficiency and sustainability.

Asset & Inventory

  • Maintain accurate records of facilities assets and equipment.
  • Monitor stock levels and coordinate the ordering of facilities supplies.

Customer Service & Problem Solving

  • Deliver a professional and responsive service to members, visitors, and colleagues.
  • Proactively identify and resolve operational issues before they escalate.
  • Demonstrate initiative and effective problem-solving to ensure the smooth running of the workplace.

Skills & Experience

  • Previous experience in facilities management, building management, contractor coordination, or a similar role.
  • Basic knowledge of building services (mechanical, electrical, plumbing, or HVAC), or a willingness to learn.
  • Understanding of health and safety requirements.
  • Excellent organisational and time management skills.
  • Strong communication and interpersonal abilities.
  • Ability to prioritise multiple tasks in a fast-paced environment.
  • A proactive, hands-on approach with excellent problem-solving skills.
  • Based primarily at our Bank location, with regular travel to other London sites.
  • Occasional evening or weekend work may be required to support member move-ins or special projects.
  • The role involves regular walking, light lifting, site inspections, and coordinating contractors.

Pay: £35,000.00-£40,000.00 per year
