Facilities Manager (Commercial Property Portfolio)

Contract: Permanent, full-time

We are exclusively recruiting an experienced Facilities Manager to take day-to-day ownership of a well-established commercial property portfolio in Central London.

Working directly for the property owner, you will ensure its buildings remain safe, compliant, well maintained and professionally presented. This is a visible, operational position for someone who enjoys being close to their buildings, occupiers and contractors; not a purely strategic, project-based or desk-led role.

You will join a close-knit property team and work closely with the Director of Commercial Property and Head of Operations. The successful candidate will combine sound technical understanding with commercial awareness, strong organisation and a calm, collaborative approach.

Key responsibilities

  • Take operational responsibility for a portfolio of multi-tenanted commercial properties.
  • Conduct regular building inspections, identifying maintenance, presentation and compliance issues before they escalate.
  • Coordinate planned and reactive maintenance across building fabric and M&E services.
  • Manage hard and soft service contractors, monitoring performance against agreed standards, SLAs and timescales.
  • Review contractor quotations, RAMS and supporting documentation, and manage permits to work.
  • Maintain accurate PPM schedules, asset information, statutory records and compliance documentation.
  • Monitor fire safety, water hygiene, asbestos and wider health and safety requirements.
  • Act as a dependable point of contact for tenants, responding to issues promptly and communicating clearly throughout.
  • Support the preparation and control of service-charge and facilities budgets.
  • Raise purchase orders, review invoices and challenge costs to ensure value for money.
  • Coordinate minor works, refurbishments and building-improvement projects.
  • Support emergency response and business-continuity arrangements.
  • Work collaboratively with colleagues, contractors and senior stakeholders to maintain consistently high standards.

What we are looking for

You will already have meaningful Facilities Manager, Assistant Facilities Manager or Building Manager experience within commercial property. This could have been gained with a property owner, managing agent or within a directly managed commercial office portfolio.

You should be able to demonstrate

  • Sustained responsibility for commercial buildings and their day-to-day operation.
  • A stable career history showing commitment, progression and long-term ownership.
  • Experience managing multi-tenanted commercial offices or a comparable property portfolio.
  • Strong knowledge of PPM, reactive maintenance and statutory compliance.
  • Practical understanding of M&E and building services, with the confidence to question and challenge contractors.
  • Experience managing suppliers, quotations, SLAs, RAMS and permits to work.
  • Budgetary experience, ideally including service-charge expenditure, forecasting and invoice approval.
  • Strong tenant, client and stakeholder-management skills.
  • A proactive approach to inspections, problem-solving and preventative maintenance.
  • The ability to work autonomously while respecting established approval and reporting processes.
  • A collaborative, measured communication style and a willingness to contribute as part of a close-knit team.
  • IOSH Managing Safely or an equivalent health and safety qualification.

Experience with CAFM or property compliance systems is expected. NEBOSH, IWFM qualifications and training in areas such as Legionella or asbestos management would be advantageous.
