About this role

Contract: Full-time, Permanent

Hours: 9:00am – 5:30pm, Monday to Friday, (plus ad hoc out-of-hours callouts, including some evenings and weekends)

We are looking for an experienced and proactive Facilities Manager to take responsibility for the effective management, maintenance and day-to-day operation of our offices, storage locations and associated facilities.

This is a varied and hands-on role, ideal for someone who is highly organised, practical and comfortable managing multiple sites, suppliers and competing priorities. You will play a key role in ensuring our premises remain safe, secure, compliant, well maintained and fit for purpose.

The Role

You will take responsibility for the Firm’s facilities operations, including planned and reactive maintenance, accommodation matters, health and safety, security, contractors, procurement and facilities-related services.

Key responsibilities will include

  • Managing the day-to-day facilities requirements of the Firm’s offices, storage locations and other premises.
  • Organising and overseeing planned and reactive maintenance, repairs and improvement works.
  • Developing and maintaining annual and three-year planned maintenance programmes, including anticipated costs and priorities.
  • Managing accommodation-related matters and ensuring premises remain suitable for operational requirements.
  • Coordinating contractors, suppliers and service providers, monitoring performance and ensuring value for money.
  • Managing facilities-related contracts, procurement and supplier relationships.
  • Supporting health and safety compliance across all locations.
  • Overseeing building security, access arrangements, keys, alarms and related systems.
  • Attending out-of-hours call-outs across the Firm’s offices, including evenings and weekends where required.
  • Managing the Firm’s archiving and file destruction programmes and procedures, including supervision of relevant staff.
  • Supporting office moves, refurbishments, maintenance projects and other facilities-related initiatives.
  • Assisting with the recording of sickness absence as and when required.
  • Maintaining accurate facilities records, schedules and documentation.
  • Identifying opportunities to improve facilities services, processes and cost efficiency.

Qualifications & Experience

You will have experience of

  • Previous experience in a Facilities Manager, Facilities Coordinator, Premises Manager or similar role.
  • Experience managing multiple premises or locations.
  • Experience overseeing planned and reactive maintenance.
  • Experience managing contractors, suppliers and service contracts.
  • Experience obtaining quotations, monitoring expenditure and supporting budget management.
  • A good understanding of workplace health and safety requirements.
  • Experience maintaining facilities records, compliance documentation and maintenance schedules.
  • Good IT skills, including Microsoft Office.

The following would be advantageous

  • A recognised facilities management qualification, such as an IWFM qualification or equivalent.
  • A recognised health and safety qualification, such as IOSH Managing Safely or NEBOSH.
  • Experience working within a legal, professional services or similarly regulated environment.
  • Experience with building compliance, fire safety, risk assessments and contractor management.
  • Experience managing archiving, records storage and confidential file destruction processes.

Equivalent practical experience will also be considered where formal qualifications are not held.

  • Commercially aware and conscious of value for money.
  • Reliable, flexible and able to respond to out-of-hours callouts, including some evenings and weekends, when required.
  • Discreet and professional when handling sensitive or confidential information.
