The Role
The post-holder will lead and manage the dispensary functions and team, be responsible for the day-to-day operational management and development of the dispensary services.
Main aims and duties of the post
Support the provision of a patient focused, safe, cost effective and efficient dispensary service across the Organisation which is compliant with Organisation priorities and GPhC pharmacy professional standards and relevant legislation.
Be accountable for developing and maintaining the day-to-day specialist pharmacy technician services provided to the in line with medicines policies and standard operating procedures.
Support in the provision of the clinical pharmacy service and recognise when clinical queries need to be referred to a different healthcare professional (e.g. pharmacist, doctor).
To co-ordinate the operational work of all the dispensary and clozapine service activities, that take place within the dispensary - prioritising and directing as required to ensure optimum use of staff time in the dispensary.
To manage and oversee procurement functions, manage supply disruptions and using knowledge of wholesalers to resolve issues or escalate to ensure timely availability of medicines.
To work collaboratively with other departments and external stakeholders to ensure effective communication of medication related issues to support safe patient care.
To work with the specialist pharmacy technicians to ensure the smooth running of the clozapine service including, dispensing of the medication supplies, organising supply and delivery schedules and monitoring of blood tests.
To identify the need for, prepare, and revise Standard Operating Procedures and other policy documentation relating to the dispensary and clozapine service to ensure working practices comply with medicines legislation and quality standards.
To propose, develop and implement policies and procedures for the dispensary and medicines management services to for the benefit of pharmacy staff, ward/team staff, service users and carers.
To plan the implementation of changes in the policies and manage the change appropriately.
To participate in Organisation-wide medicines management initiatives.
To supervise the pharmacy technicians and support worker staff and carry out appraisals to develop and contribute to education and training about medicines management to pharmacy technicians, nursing staff and other healthcare professionals.
To Plan, arrange and carry out 3 monthly Controlled Drug checks on the ward and provide feedback to ward manager as necessary.
Act as a witness for the destruction of patients own and Schedule 4 Part 1 Controlled Drugs that are no longer required.
To Report medication errors/ incidents using the Organisation incident reporting scheme (RADAR) and investigate pharmacy errors
Ensure personal workload is co-ordinated and prioritised according to patient and team requirements.
Responsibilities of this post require the post-holder to work autonomously as well as a team member. This role may require travel to other locations within the Organisation.
Lead and coordinate the Pharmacy Procurement and Distribution service
Oversee the efficient and safe purchasing, supply and distribution of medicines
Support robust financial governance, including cost-effective purchasing, accurate invoicing and contract compliance
Provide leadership, supervision and development for procurement
Manage stock control processes, data quality, medicines shortages and supply chain resilience
Ensure compliance with relevant legislation, Trust policies, national guidance and medicines governance requirements
Support service planning, audits, incident investigation and pharmacy improvement initiatives
Work closely with pharmacy, finance, clinical, procurement and digital colleagues to deliver high-quality, patient-centred services
Main Roles and Responsibilities
· Planning, co-ordination and managing the workload of pharmacy technical and support staff within the dispensary and actively participating in staff recruitment.
· Supervise the dispensary staff and ensure the safe and timely supply of medicines is always maintained to the wards and departments of Rotherham, Doncaster and South Humber NHS Foundation Organisation.
· Ensuring safe systems are in operation for dispensing and preparation of medicines in all pharmacy areas. Monitoring compliance with medicines legislation and quality standards
· Recognising and managing risks associated with medicines supply and dispensing.
· Have oversight of contracting and contracts management
· Work alongside Superintendent Pharmacist and advise on complex Procurement matters, producing cost efficiencies, maximising cost savings and reducing waste.
· Develop and maintain appropriate and relevant Key Performance Indicators (KPIs) to benchmark performance of the service.
· Supporting and contributing to the provision of the pharmacy service to other aspects of health services in the Organisation when required.
· Ensuring procurement functions are managed and supply issues are escalated in a timey manner.
· Responsibility to analyse pharmacy data from various sources across site and proactively distribute staff to critical areas when required.
· Ensure that operational dispensary Standard Operating Procedures (SOPs) are always maintained and followed and will contribute to the maintenance of the programme.
· Undertake accurate labelling and dispensing in accordance with SOPs by interpreting prescription charts to facilitate the safe supply of medicines.
· Undertake final accuracy checking slots within the dispensary as an ACT and to show continuous competency in checking accurately and safely.
· Use the pharmacy computer system to maintain accurate patient records and information regarding supplies the pharmacy department have made.
· Ensure dispensary staff complete allocated work to expected standards, which includes stock checks, expiry date checking and appropriate storage of medicines. To ensure that checked items are ready to be delivered as dictated by the transport schedule.
· To have working knowledge and be a superuser of the electronic systems within the dispensary which include the pharmacy/Organisation computer system; the pharmacy dispensing systems and procurement systems and the ePMA system.
· Provide professional advice and information to patients, relatives, carers, medical and nursing staff regarding prescribed medicines and further supplies.
· Provide support in implementing developments within dispensing services.
· Promote medication safety within dispensary service.
· Provide education and counselling to patients and carers within scope of knowledge and experience.
· To use the Organisation patient safety software (RADAR) to raise or respond to any incidents in a professional and timely manner.
· This will include investigating and reporting findings to the appropriate manager.
· To investigate and resolve customer complaints and enquiries following Organisation procedures.
· To maintain all documentation in relation to dispensing and near miss dispensing errors ensuring sharing of any learning from errors and incidents as per the PSIRF agenda.
· Aim for continuous improvement in all areas of dispensary service including staff training, awareness of environment, best operational practice and service provision.
· Be aware of current national issues regarding technician development and legislation.
