What You’ll Be Doing

As a Duty Operations Manager, you will support the Senior Operations Manager in the day-to-day running of our letting’s services across a designated region of schools. This is a field-based leadership role focused on operational delivery, team support, and ensuring the highest standards of service.

You will take full ownership of regional operations in the Senior Manager’s absence and act as a key point of support in delivering performance, quality, and compliance in line with company expectations.

Operational Support & Leadership

  • Support all operational functions across school sites under the guidance and direction of the Senior Operations Manager.
  • Assist with rota coordination, staffing support, and delivery of consistent service standards.
  • Be regularly present in the field, including weekends, to maintain high visibility and support site teams.
  • Act as the designated Duty Manager across the region when scheduled, including full ownership of the operational service in the Senior Manager’s absence.
  • Carry out routine checks across sites, including file audits, cleanliness reviews, and safety compliance.
  • Support incident responses and ensure prompt communication with Senior Management.

Team Support & Daily People Management

  • Act as a first line of support to Operations Staff and Site Assistants, escalating concerns where necessary.
  • Support and coach site-based staff, including leading shift handovers, offering on-the-job training, and ensuring staff are following correct procedures.
  • Monitor day-to-day performance and flag any areas of concern to the Senior Operations Manager.
  • Contribute to the creation of weekly rotas and ensure correct staffing coverage at each site.
  • Support with onboarding new team members and training refreshers as directed.

Systems, Processes & Operational Compliance

  • Assist in the daily upkeep of operational systems to support compliance and tracking
  • Red Process: Monitor risk logs and help implement resolutions under supervision.
  • Key Log: Ensure site access is recorded accurately across all schools visited.
  • Bible Updates: Keep on-site information and updates aligned with real-time changes.
  • HR: Record and report absences, lateness, and availability for team members.
  • Booking/Rota Checks: Conduct daily reviews to confirm correct staffing vs. schedule alignment.

Financial Support & Payroll Coordination

  • Assist with preparing accurate weekly staff hours, rotas, and absence information for payroll purposes.
  • Ensure timely submission of payroll data to the Senior Manager or Head Office.
  • Work with the Senior Operations Manager to help manage staffing budgets and reduce unnecessary costs on-site.
  • Support in identifying and reporting potential cost efficiencies across operations.

Stakeholder Engagement & Service Delivery

  • Be a visible and professional point of contact on school sites during lettings hours.
  • Support the resolution of service complaints on-site, escalating where needed.
  • Ensure that customer and school satisfaction is prioritized through responsiveness, professionalism, and consistency.
  • Work closely with bookings and scheduling teams to ensure operational feasibility and service continuity.

Reporting & Documentation

  • Submit daily operational reports, including incident logs, shift summaries, and site updates.
  • Complete leavers forms, expense submissions, and any HR-related documentation accurately and on time.
  • Always maintain compliance with operational and safeguarding procedures.
  • Support transparent documentation and reporting in collaboration with the Senior Manager and Head Office.

What You Need to Know Before Applying

  • This role requires an Enhanced DBS & Children's Barred List Check.
  • Evening & weekend work is required, as this is when our venues are busiest.
  • A full driving license and access to a vehicle are essential due to national travel.
  • Overnight stays may be required (expenses & accommodation covered).

Pay: £26,000.00-£30,000.00 per year
