This role is very much an on-site operational style role and as part of this we would expect a minimum of 3 days (60%) on the estate/in the office

A fantastic opportunity has arisen for an experienced and proactive Facilities Manager to join the Asset Management team at Places for London. You will be responsible for a portfolio of commercial properties across London, ensuring premises are safe, compliant, well maintained and provide an environment in which occupiers can thrive.

This is a highly visible operational role, spending significant time across the estate undertaking inspections, engaging with occupiers, monitoring contractor performance and identifying opportunities to improve service delivery. You will work closely with Property Managers, Asset Managers and suppliers to ensure facilities management services are delivered to a high standard and that risks are identified and resolved promptly.

The role requires a practical, customer-focused individual with strong facilities management experience and a passion for delivering excellent property and compliance outcomes.

The position sits within the Facilities Management team and reports into a Senior Facilities Manager.

Key Accountabilities

  • Effectively manage a designated property portfolio, undertaking regular site inspections and property risk assessments to identify and mitigate health, safety and compliance risks.
  • Ensure contractors and service partners maintain appropriate risk assessments, RAMS and quality assurance controls, undertaking regular compliance, quality and performance audits to ensure services are delivered safely and to the required standards.
  • Identify, scope and manage facilities management works and service requirements across the portfolio, working closely with contractors and service partners to achieve value for money, meet agreed service levels and ensure works are delivered safely, compliantly and within delegated budgets.
  • Define and coordinate cyclical hard and soft FM services, including statutory compliance activities, ensuring programmes are delivered to agreed standards, frequencies and budgets.
  • Maintain accurate asset, compliance and condition data within the CAFM system, ensuring records are up to date and readily available to support operational decision making.
  • Work closely with Property and Asset Managers to support the development and management of service charge budgets and service delivery arrangements.
  • Monitor contractor and supplier performance through regular audits, inspections and review meetings, taking proactive action to address underperformance and drive continuous improvement.
  • Build and maintain strong working relationships with occupiers, customers and stakeholders, acting as a visible and responsive point of contact for facilities management issues.
  • Respond appropriately to emergencies, incidents and urgent operational issues, coordinating actions through to resolution.
  • Undertake regular property inspections to assess asset condition, identify maintenance requirements and ensure properties are safe, compliant and well presented.
  • Support the implementation of sustainability initiatives and energy efficiency measures across the portfolio.

Knowledge

  • Essential: NEBOSH Certificate (or equivalent) in Safety Management.
  • Essential: Comprehensive knowledge of statutory compliance requirements and health and safety legislation relating to commercial property and facilities management.
  • Essential: Good understanding of building fabric, M&E systems and facilities management best practice.
  • Desirable: Relevant Degree together with corporate membership of RICS, or similar body.
  • Desirable: Awareness of safety issues associated with work adjacent to the operational railway environment is desirable.

Skills

  • Essential: Excellent communication and stakeholder management skills with the ability to build positive relationships with occupiers, suppliers and colleagues.
  • Essential: Ability to think innovatively, practically and make decisions to resolve problems quickly.
  • Essential: Ability to identify issues, assess risk and make practical, informed decisions to resolve problems quickly and effectively.
  • Essential: Ability to undertake site inspections, audits and compliance reviews with a high level of attention to detail.
  • Essential: Proficient in CAFM systems and Microsoft Office applications.

Experience

  • Essential: Substantial experience and knowledge in building maintenance and facilities management best practice and trends.
  • Essential: Experience in the administration of a range of projects to objectively establish and achieve fundamental commercial and financial requirements and client aims.
  • Essential: Experience undertaking property inspections, compliance audits and risk assessments.
  • Desirable: Experience, knowledge and understanding of commercial and residential estate management, including service charge.
  • Essential: Relevant proven experience in a multiple site environment including people management and with a business focus, customer driven approach is essential.
  • Desirable: Skilled in using property management software and tools
