About Gigacycle

Gigacycle is a growing UK IT Asset Disposal (ITAD), secure data destruction and IT lifecycle services provider.

We work with organisations across the UK to securely collect, process, reuse, remarket and recycle IT equipment, alongside providing a growing range of IT lifecycle services.

As Gigacycle continues to grow, we are looking for an experienced, highly organised and proactive Logistics & Operations Manager to take ownership of our day-to-day logistics operation while supporting the smooth, safe and efficient running of our operational facility.

The Role

This is a varied operational management position combining logistics, transport planning, operational administration, Health & Safety coordination, fleet management, purchasing and site operations.

Logistics will remain a major part of the position. You will plan nationwide collections, manage drivers, optimise routes and vehicle utilisation and ensure customers receive an excellent collection service.

Alongside this, you will help coordinate the day-to-day operational requirements of the site, including Health & Safety administration, equipment checks, maintenance schedules, operational supplies, packaging stock and general operational administration.

We are looking for someone who enjoys taking ownership, creating structure and making sure things get done.

The right person will naturally look around an operation and ask:

"What needs doing, what needs improving, and how can we make this operation safer, more organised and more efficient?"

Key Responsibilities

1. Transport & Collection Planning

  • Plan and coordinate customer collections throughout the UK.
  • Create efficient daily and weekly vehicle schedules.
  • Allocate appropriate drivers and vehicles.
  • Optimise routes to minimise unnecessary mileage and travelling time.
  • Group collections geographically wherever practical.
  • Consider vehicle capacity, payload and equipment quantities when planning.
  • Plan overnight stays and multi-day routes where commercially appropriate.
  • Manage urgent and short-notice collections.
  • Maintain forward visibility of fleet capacity and upcoming workload.
  • Identify opportunities to combine collections and deliveries.

2. Driver Management

  • Manage the day-to-day workload of Gigacycle's drivers.
  • Provide drivers with clear collection instructions.
  • Conduct operational briefings where required.
  • Monitor driver punctuality, performance and customer service.
  • Coordinate driver availability, holidays and absence with management.
  • Investigate failed, delayed or problematic collections.
  • Maintain high standards of driver professionalism.
  • Support and coach drivers where improvements are required.
  • Create a culture of accountability within the logistics function.

3. Fleet Utilisation & Efficiency

Take ownership of improving the utilisation and productivity of Gigacycle's vehicle fleet.

Monitor areas including

  • Vehicle utilisation
  • Vehicle payload
  • Collections per vehicle
  • Collections per driver
  • Empty mileage
  • Total mileage
  • Fuel usage
  • Driver overtime
  • Vehicle downtime
  • Cost per collection

Regularly identify opportunities to reduce unnecessary transport costs and improve efficiency.

4. Collection Preparation

Ensure every collection is properly prepared before the vehicle leaves the site.

Review

  • Customer location
  • Customer contact
  • Collection time/window
  • Equipment quantities
  • Estimated collection weight
  • Access restrictions
  • Parking/loading restrictions
  • Floors and lift availability
  • Pallet requirements
  • Cage requirements
  • Manual handling requirements
  • Specialist equipment requirements
  • Security requirements
  • Customer-specific instructions

Where information is incomplete, proactively obtain clarification before resources are dispatched.

5. Live Transport Management

Act as a central point of contact for the fleet throughout the working day.

Manage

  • Traffic delays
  • Customer delays
  • Collection overruns
  • Access problems
  • Vehicle breakdowns
  • Unexpected additional equipment
  • Driver issues
  • Same-day schedule changes
  • Urgent collection requirements

Ensure customers and internal teams are proactively informed where plans change.

6. Fleet Management

Coordinate the operational requirements of the company vehicle fleet, including:

  • Servicing
  • MOTs
  • Repairs
  • Tyres
  • Vehicle inspections
  • Driver vehicle checks
  • Defect reporting
  • Breakdown arrangements
  • Vehicle cleanliness
  • Maintenance schedules
  • Vehicle documentation

Work with garages and external suppliers to minimise vehicle downtime.

OPERATIONS RESPONSIBILITIES

7. Health & Safety Coordination

Support management in maintaining a safe and well-organised working environment.

Responsibilities will include

  • Maintaining Health & Safety records and documentation.
  • Coordinating routine workplace inspections.
  • Ensuring scheduled H&S checks are completed.
  • Maintaining accident and near-miss records.
  • Following up outstanding H&S actions.
  • Maintaining relevant operational risk assessments.
  • Supporting toolbox talks and safety briefings.
  • Maintaining inspection and compliance schedules.
  • Ensuring appropriate safety signage is displayed.
  • Monitoring PPE availability and requirements.
  • Ensuring fire exits and emergency routes remain clear.
  • Coordinating routine fire safety checks.
  • Monitoring first aid supplies.
  • Supporting accident and incident investigations.
  • Escalating Health & Safety concerns to senior management.
  • Helping maintain a strong Health & Safety culture across the operation.

The role will coordinate and administer Health & Safety activities while working with senior management and competent external H&S advisers where specialist advice is required.

8. Forklift & Operational Equipment Checks

Help ensure operational equipment is properly inspected, maintained and available.

Responsibilities include

  • Ensuring daily/weekly forklift checks are completed and recorded.
  • Maintaining forklift inspection records.
  • Monitoring servicing schedules.
  • Coordinating repairs and maintenance.
  • Maintaining LOLER/thorough examination schedules where applicable.
  • Reporting and following up equipment defects.
  • Ensuring defective equipment is appropriately taken out of service.
  • Monitoring authorised forklift users.
  • Maintaining relevant training records.
  • Coordinating maintenance of other operational equipment.

9. Operational Maintenance Schedule

Maintain a central schedule covering routine operational inspections, servicing and maintenance.

This should provide management with clear visibility of upcoming requirements including:

  • Vehicle servicing
  • MOTs
  • Forklift servicing
  • Forklift examinations
  • Equipment maintenance
  • Fire safety inspections
  • Alarm/security system servicing
  • First aid requirements
  • PPE requirements
  • Operational machinery servicing
  • Building maintenance requirements

Ensure upcoming requirements are identified early rather than becoming reactive operational problems.

10. Packaging & Operational Supplies

Take responsibility for monitoring and ordering routine operational supplies.

This may include

  • Pallets
  • Cardboard boxes
  • Laptop boxes
  • Monitor boxes
  • Packaging materials
  • Bubble wrap/protective packaging
  • Pallet wrap
  • Tape
  • Labels
  • Security seals
  • Cable ties
  • PPE
  • Cleaning supplies
  • Warehouse consumables
  • Printer labels and operational stationery

Maintain sensible minimum stock levels so critical supplies do not unexpectedly run out.

11. Purchasing & Supplier Coordination

Coordinate routine operational purchasing within agreed authority levels.

Responsibilities include

  • Requesting supplier quotations.
  • Raising or requesting purchase orders where applicable.
  • Comparing supplier pricing.
