What this opportunity involves

As the Assistant Facilities Manager at JLL, you will assist with the day-to-day management of all operational and financial aspects of Telstra workplace environments, delivering responsive solutions in a fast-paced, client-focused environment. In this role, you'll serve as the primary liaison with Telstra business units, maintaining exceptional customer service standards while proactively addressing client needs in real-time. You'll monitor and manage multiple vendors simultaneously including cleaning, handyman, and HVAC services to ensure portfolio-wide standards are maintained across all sites. You'll need to remain flexible to work after hours when urgent facility issues arise, ensuring business continuity and client satisfaction while we support each other's wellbeing and champion inclusivity and belonging across teams.

An overview of the role

Serve as primary liaison with Telstra business units, maintaining exceptional customer service standards and proactively addressing client needs in real-time

Monitor and manage multiple vendors simultaneously including cleaning, handyman, and HVAC services to ensure portfolio-wide standards are maintained

Undertake cleaning and regular building inspections, conducting contractor performance evaluations against contract requirements and raising work orders via Corrigo

Manage the Building Management inbox and Corrigo work orders in coordination with the team, prioritizing urgent requests and actioning work requests accordingly

Process invoices in accordance with specific limits of authority, governance and Corrigo, ensuring all invoices are processed accurately and promptly while verifying accuracy against purchase orders, contracts, and budgets

Assist with seeking and coordinating vendor quotes through to completion of works, managing multiple financial deliverables simultaneously while maintaining accuracy

Coordinate weekly team meetings with Workplace and Workplace Teams to discuss vendors, vendor issues, deadlines, WHS, and audits, assisting with preparation of internal audits

Assist with compliance management in relation to vendor managed functions and coordination of compliance with WHS, environment and risk management policies and procedures

Provide continuous improvement opportunities through data analysis and Telstra business unit feedback, assisting with the management of ECO training programs and change room locker allocation

Facilities management experience and client service industry experience

Demonstrated experience working in fast-paced environments with competing priorities and a track record of effective issue resolution

Excellent client service and communication skills with the ability to deal with a variety of issues concurrently

Ability to work under pressure with limited supervision while remaining goal oriented and focused on meeting performance targets

Self-motivated and confident with the ability to adapt to rapidly changing situations and resolve critical issues efficiently

Strong team player who can cooperate and work well with others to meet targets, particularly with the Workplace Experience team

Strong organizational skills and attention to detail while managing competing demands and maintaining service excellence during high-pressure situations

Flexibility to work after hours when urgent facility issues arise to ensure business continuity and client satisfaction
