We are looking for an Assistant Facilities Manager to help coordinate the safe and efficient operation of our growing portfolio of education sites.

Reporting to the Estates and Facilities Lead, you will support in managing day-to-day maintenance requests, contractor activity, compliance schedules and site standards. You will also supervise our Maintenance and Logistics Officers and coordinate the cleaning team and front-of-house provision.

This is an excellent opportunity for an experienced Facilities Coordinator, Facilities Officer or Assistant Facilities Manager who is ready to take on broader multi-site responsibilities and develop their facilities management career.

What You'll Be Doing

  • Coordinate day-to-day facilities operations across multiple sites, ensuring buildings remain safe, clean and fit for purpose
  • Manage planned and reactive maintenance requests from initial report through to completion
  • Coordinate planned preventative maintenance, statutory servicing and routine building inspections
  • Arrange specialist contractors, obtain quotations and monitor the quality and completion of work
  • Carry out regular site inspections, identify maintenance or safety concerns and ensure actions are followed through
  • Maintain accurate compliance records, servicing certificates, inspection reports and remedial-action logs
  • Support facilities checks relating to fire safety, emergency lighting, water hygiene, electrical testing and access control
  • Provide day-to-day supervision to the Maintenance and Logistics Officer, setting priorities and monitoring performance
  • Coordinate cleaning services and reception cover, including rotas, shifts and timesheet approval
  • Work with academic and professional services teams to minimise disruption to teaching and other activities
  • Monitor facilities supplies, equipment, stock levels and asset records
  • Support purchase orders, contractor invoices and the monitoring of facilities expenditure
  • Assist with room moves, refurbishments, furniture installations and new-site preparations
  • Escalate significant building, compliance or health and safety concerns to the Estates and Facilities Lead

Requirements

What We're Looking For

Essential

  • Experience in facilities management, estates, building services, property operations or a similar environment
  • Experience coordinating planned maintenance, reactive repairs and contractor activity
  • A practical understanding of building maintenance and common mechanical and electrical systems
  • Knowledge of workplace health and safety and facilities compliance requirements
  • Experience supervising staff or coordinating operational teams, workloads and rotas
  • Strong organisational skills and the ability to manage several priorities across multiple locations
  • Confidence working with contractors, suppliers, colleagues and senior managers
  • A reliable, solutions-focused approach with strong attention to detail and follow-through
  • Ability to travel between School of Coding & AI sites as required

Desirable

  • A facilities management, building services, electrical, mechanical or related qualification
  • IOSH Managing Safely, NEBOSH General Certificate or equivalent training
  • Experience working in education, the public sector or another regulated environment
  • Experience using facilities, compliance, contractor or asset-management systems
  • Knowledge of fire safety, water hygiene, emergency lighting, electrical testing or asbestos management
