*Location –*The post operates under the organisation’s hybrid working arrangements. Required office attendance, including days and frequency, will be set by the line manager and may be subject to change to meet business needs.
Purpose of the Role
With the merger of Bespoke Supportive Tenancies and Westmoreland Supported Housing, and the strategic decision to bring our maintenance contractor in-house, we are entering a new phase of operational alignment and service excellence. The Compliance Administrator plays a vital role in supporting the delivery of safe, compliant services across our property portfolio.
Reporting to the Head of Compliance, you will be responsible for maintaining accurate compliance records, coordinating servicing schedules, and ensuring timely follow-up on remedial actions. You will work closely with internal teams and external contractors to ensure that all documentation is up to date, accessible, and aligned with regulatory requirements.
Your attention to detail and proactive approach will help ensure that our compliance systems, including platforms such as Plentific operate smoothly and support the wider team in delivering safe environments for our customers, many of whom have complex support needs.
Our customers include people with a wide range of support needs, including learning disabilities, autism, brain injuries, and mental or physical health conditions. Making safety and compliance not just a legal obligation, but a moral imperative.
3. Key Responsibilities
· Maintain accurate and up-to-date records of statutory servicing, certification, and remedial works across all compliance areas.
· Upload and manage documentation within compliance platforms such as Plentific, ensuring data integrity and accessibility.
· Monitor servicing schedules and certification expiry dates, flagging upcoming deadlines to the Compliance Manager
· Support the coordination of appointments and access arrangements for servicing, repairs and remedial works for Gas, Oil, Fire Systems, Fire Risk Assessments, Lifts, Asbestos, Legionella, Electrical, and other regulated areas.
· Keep accurate records of remedial works required following statutory servicing, process quotes and raise work orders
· Escalate concerns or delays in remedial actions to the Compliance Manager promptly.
· Respond to queries related to compliance documentation and servicing schedules.
· Contribute to the continuous improvement of compliance processes and administrative systems.
· Promote a culture of safety and compliance across property services.
· Embed customer insight and experience into service design and execution.
· Ensure statutory, legislative, and governance compliance across all relevant services.
· Ensure all statutory servicing schedules are met and documented.
· Ensure Health and Safety policies and procedures are adhered to
· Assist in emergency response and business continuity planning, ensuring compliance data is readily available.
· Collaborate with internal teams to embed compliance into operational planning and service delivery.
· Liaise with contractors, suppliers, and regulatory bodies to ensure effective service delivery.
· Provide operational support and guidance to frontline teams on compliance matters.
· Monitor performance against KPIs and service standards, identifying areas for improvement.

- Proven experience in a housing compliance role, with responsibility for maintaining up-to-date certification records and coordinating remedial actions in line with statutory requirements - D
- Experience of using Plentific or CRM systems to manage property related functions - D
- Background M&E servicing, building compliance, and health & safety regulations - D
- Proven experience with statutory certifications, remedial programming, and risk mitigation - D
- Knowledge of health and safety compliance in house settings (e.g. fire safety, property inspections) - D
- Experience of working with vulnerable adults, including people with learning disabilities, autism or mental health conditions - D
- Awareness of relevant legislation, including safeguarding and data protection - D
- Ability to manage a varied workload and prioritise effectively - E
