About this role

Hours: Full-time - 3 days office 2 days work from home.

Travel: Approximately 2–3 times per month, including occasional overnight stays

Reports to: Managing Director & Senior Property Manager

We are looking for an organised, proactive and practical Property Management & Compliance Coordinator to join our growing property management team.

We manage approximately 400 properties across the UK, and this is a hands-on role supporting our Senior Property Manager to ensure our properties are well managed, compliant and maintained to a high standard.

This is not a desk-only administration role. You will be expected to visit properties, carry out checks, coordinate contractors and follow issues through to completion.

Key responsibilities

Property inspections

* Carry out routine property inspections across the portfolio.

* Complete inspection reports accurately and promptly.

* Identify maintenance, safety and property-condition issues.

* Raise and follow up actions arising from inspections.

* Escalate significant issues to the Senior Property Manager.

Maintenance coordination

* Log and manage routine maintenance requests.

* Liaise with tenants, landlords and contractors.

* Arrange contractor attendance and access.

* Obtain quotes where required.

* Chase outstanding works through to completion.

* Keep property records updated.

* Identify recurring or significant issues and escalate them to the Senior Property Manager.

Property compliance

* Coordinate and carry out property and communal compliance checks.

* Assist with fire door checks, fire alarm checks, fire blanket checks, emergency lighting and communal inspections.

* Coordinate fire risk assessment actions and remedial works.

* Monitor upcoming and outstanding compliance requirements.

* Maintain accurate records and evidence.

* Chase contractors and suppliers where actions remain outstanding.

* Escalate overdue, failed or high-risk items promptly.

Check-outs, deposits and re-lets

* Support the Senior Property Manager with check-outs.

* Identify damage, cleaning and maintenance requirements.

* Assist with quotes and remedial works.

* Support the deposit process and associated administration.

* Help coordinate properties through the re-let process.

* Ensure properties are ready for handover to the lettings team.

Property operations

* Attend properties when required.

* Manage keys and access arrangements.

* Coordinate contractors and property visits.

* Follow up outstanding actions.

* Keep systems and property records accurate and up to date.

* Ensure agreed actions are not left incomplete.

Travel

As we manage properties across the UK, the role will involve travel outside Cardiff.

You should be comfortable travelling approximately 2–3 times per month if required, sometimes involving an overnight stay, depending on the location and requirements of the portfolio.

Travel will be planned in advance wherever possible.

What we’re looking for

We are looking for someone who is

* Highly organised and able to manage multiple deadlines.

* Proactive — someone who sees a problem and follows it through.

* Confident dealing with contractors, tenants and landlords.

* Comfortable carrying out property visits independently.

* Good at spotting issues and knowing when to escalate them.

* Strong with administration and record keeping.

* Comfortable using systems, email and spreadsheets.

* Practical and solutions-focused.

* Reliable and willing to travel when required.

Property management experience would be highly desirable, but we are also interested in candidates with strong property operations, facilities or compliance experience who are keen to develop within property management.

This is an excellent opportunity for someone who wants a varied role within a growing property business, with genuine responsibility across a substantial UK property portfolio.
