Job Title: Compliance Person

Position Overview

The Compliance Person plays a vital role in ensuring that our organization adheres to all applicable legal, regulatory, and industry standards. By working closely with management and operational teams, this role helps develop and implement practical compliance procedures, ensuring that we operate safely, responsibly, and in a manner that protects our reputation and business interests.

Reports to: Operations Manager / Managing Director Direct Reports: None (Individual Contributor)

Key Responsibilities

1. Health & Safety Compliance

  • Develop and implement health and safety policies and procedures.
  • Assist with risk assessments in all operational areas, including site work, offices, and workshops.
  • Manage accident and incident reporting, ensuring compliance with RIDDOR.
  • Coordinate health and safety inductions and training for new employees.
  • Maintain health and safety documentation and records.
  • Monitor the availability and usage of Personal Protective Equipment (PPE).
  • Prepare health and safety reports for management review.

2. Regulatory Compliance & Monitoring

  • Stay informed about key regulations affecting plumbing and heating operations, including:
  • Health and Safety at Work legislation
  • Environmental Protection and waste management regulations
  • Water Regulations and Building Standards
  • Gas Safety (Installation and Use) Regulations
  • Control of Asbestos Regulations
  • GDPR and data protection requirements
  • Conduct routine compliance checks and audits.
  • Identify and report any regulatory breaches to management.
  • Monitor changes in legislation and inform management of their implications.
  • Prepare regulatory correspondence and submissions as directed.

3. Engineer Certification & Competency

  • Maintain a register of Gas Safe registrations for all gas engineers.
  • Track and monitor engineer certifications (Gas Safe, F-Gas, electrical, water hygiene, etc.).
  • Implement systems to flag upcoming certification renewal dates.
  • Verify that all staff performing work hold current, valid qualifications.
  • Support staff in meeting continuing professional development (CPD) requirements.
  • Maintain records of engineer qualifications.

4. Quality & Workmanship Standards

  • Support the implementation of quality assurance procedures for all services.
  • Establish and maintain standards for workmanship and customer service.
  • Assist in managing customer complaints and resolutions.
  • Ensure that work is properly documented and traceable.
  • Monitor compliance with internal quality standards.
  • Support third-party audits and certification requirements (e.g., Gas Safe, accreditations).

5. Environmental Compliance & Waste Management

  • Ensure compliance with environmental regulations and waste disposal protocols.
  • Develop procedures for the segregation and disposal of hazardous materials (e.g., oils, refrigerants, asbestos).
  • Monitor and document environmental incidents or near-misses.
  • Manage environmental permits and license renewals.
  • Provide environmental guidance and training to relevant staff.
  • Maintain environmental compliance records.

6. Documentation & Record Keeping

  • Create and maintain compliance documentation and procedures.
  • Establish systems for consistent record-keeping across departments.
  • Maintain audit trails for compliance activities.
  • Manage document control and version management.
  • Ensure compliance documents are accessible to relevant staff.
  • Organize and securely file compliance records.

7. Training & Staff Competency

  • Coordinate health and safety inductions for new starters.
  • Arrange and deliver mandatory compliance training (e.g., health & safety, GDPR).
  • Maintain training records and certificates.
  • Identify and report staff training needs to management.
  • Arrange refresher training as necessary.

8. Incident Reporting & Investigation

  • Establish procedures for incident reporting and investigations.
  • Investigate workplace incidents and near-misses.
  • Prepare incident reports and recommend corrective actions.
  • Report significant incidents to regulatory authorities as required (RIDDOR).
  • Maintain incident logs and review trends.

9. Supplier & Contractor Management

  • Assist in vetting subcontractors and suppliers for compliance standards.
  • Verify contractor qualifications and insurance.
  • Maintain records of supplier compliance certifications.
  • Monitor contractor compliance with organizational and regulatory standards.

10. Customer Data & Communication

  • Ensure customer data management complies with GDPR.
  • Facilitate transparent communication regarding completed work.
  • Assist with customer-related compliance queries or complaints.

11. Compliance Auditing & Improvement

  • Conduct regular internal compliance checks and spot audits.
  • Prepare audit reports identifying gaps and non-conformances.
  • Track and monitor the implementation of corrective actions.
  • Identify opportunities for process improvement.
  • Report audit findings and recommendations to management.

12. Liaison & Communication

  • Act as the point of contact for compliance queries from staff.
  • Liaise with regulatory authorities and certification bodies as needed.
  • Support external audits and inspections.
  • Provide compliance guidance and advice to operational teams.

Key Competencies & Qualifications

Essential

  • Diploma or degree in Health & Safety, Compliance, or a related field.
  • Minimum of 2-3 years of experience in compliance, quality, or health & safety roles.
  • Strong knowledge of UK health, safety, and environmental legislation.
  • Understanding of plumbing and heating industry standards.
  • Attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office and basic database/spreadsheet applications.
  • Strong problem-solving and analytical skills.

Desirable

  • IOSH Managing Safely qualification.
  • NEBOSH or similar health & safety certification.
  • Experience in the plumbing, heating, or construction sector.
  • Knowledge of Gas Safety regulations and the Gas Safe Register.
  • Experience with ISO 9001 quality management systems.
  • Audit and inspection experience.

Key Performance Indicators

  • Compliance audit score: Minimum 90% across operational areas.
  • Reduction in workplace incidents and near-misses.
  • 100% of identified non-conformances addressed within agreed timescales.
  • 100% completion and recording of mandatory training.
  • 100% accuracy in staff certification records and renewals.
  • No enforcement actions from regulatory authorities.
  • All compliance records are current and accessible.
  • Reduction in compliance-related customer complaints.

Reporting & Accountability

Reports to: Operations Manager / Managing Director Reporting Frequency

  • Monthly: Compliance summary to management.
  • Quarterly: Compliance audit report.
  • As required: Incident reports, regulatory correspondence, alerts.

Authority & Decision-Making

The Compliance Person has the authority to

  • Access organizational areas and documents necessary for compliance.
  • Alert management to safety risks or compliance breaches.
  • Recommend corrective actions.
  • Coordinate compliance training and inductions.

The Compliance Person will escalate to management

  • Significant regulatory breaches or violations.
  • Serious safety incidents or risks.
  • Major non-conformances identified in audits.
  • Changes to the regulatory landscape affecting operations.
  • Resource or budget issues impacting compliance delivery.

Working Conditions

  • Hours: Full-time, standard business hours with occasional flexibility for audits or site visits.
  • Location: Office-based

Pay: £30,000.00-£35,000.00 per year
