As part of our continued growth, we are evolving our Melbourne operations to a lean, highly efficient logistics model. Rather than holding large volumes of inventory locally, stock will be transferred from our Sydney distribution centre as required, allowing us to provide exceptional service while maintaining a streamlined cost structure.

This role is critical to ensuring Victorian events are delivered seamlessly from planning through to execution.

The Operations Coordinator – Victoria is responsible for coordinating all operational activities for Victorian projects.

Working closely with the Sydney Operations Team, Account Managers and casual event crews, you will ensure stock is available when required, interstate transfers are organised efficiently, delivery schedules are coordinated, and every event is installed and collected to Simply Seated's high standards.

This is a hands-on coordination role rather than a traditional warehouse management position.

Key ResponsibilitiesOperations Coordination

  • Coordinate all Victorian event logistics from confirmation through to collection.
  • Review upcoming event schedules and ensure all required inventory is available.
  • Liaise daily with the Sydney Operations Team regarding stock requirements and transfers.
  • Coordinate interstate freight and stock movements.
  • Monitor transfer schedules and ensure deliveries arrive on time.

Inventory Coordination

  • Check stock availability for confirmed events.
  • Raise internal transfer requests from Sydney.
  • Coordinate receiving and dispatch of transferred inventory.
  • Conduct quality checks on incoming and outgoing stock.
  • Maintain accurate inventory records within the operating system.
  • Report damaged or missing items.

Event Delivery Coordination

  • Schedule casual event crew for deliveries, installations and collections.
  • Prepare daily run sheets.
  • Coordinate vehicle requirements and external transport providers.
  • Ensure events are completed safely, efficiently and on schedule.
  • Troubleshoot operational issues during installations.

Customer & Internal Communication

  • Act as the operational contact for Victorian jobs.
  • Liaise with Account Managers regarding delivery schedules.
  • Provide operational updates to clients where required.
  • Escalate issues that may impact project delivery.

Warehouse & Facility Management

Although the Melbourne warehouse will operate with a significantly smaller footprint, the Operations Coordinator will:

  • Maintain a clean, organised and safe warehouse.
  • Receive and dispatch interstate freight.
  • Coordinate loading and unloading activities.
  • Manage consumables and warehouse equipment.
  • Ensure compliance with WHS procedures.

Casual Workforce Management

  • Recruit and maintain a pool of reliable casual event staff.
  • Schedule labour based on upcoming events.
  • Coordinate inductions and training.
  • Monitor staff performance and availability.

Continuous Improvement

  • Identify efficiencies within logistics and freight movements.
  • Improve operational processes.
  • Assist with implementing new systems and procedures.
  • Support the ongoing development of Simply Seated's Victorian operations.

Skills & ExperienceEssential

  • Experience coordinating logistics or operations.
  • Strong organisational skills.
  • Ability to manage multiple projects simultaneously.
  • Excellent communication skills.
  • High attention to detail.
  • Strong computer literacy.
  • Experience using inventory or ERP systems.
  • Ability to work autonomously.
  • Current Driver Licence.

Desirable

  • Experience within events, exhibitions or furniture hire.
  • Knowledge of interstate freight operations.
  • Forklift Licence.
  • Experience managing casual staff.

Pay: $74,050.01 – $86,996.36 per year
