We are seeking a Planning & Compliance Coordinator to support our transport operation, ensure accuracy across all processes, and help maintain the highest standards of compliance and organisation.

This position includes early‑morning planning from 6am, ensuring all vehicles are on the road, routes are correct, contractors are aligned, and backloads are identified. You will post jobs to the Haulage Exchange platform and monitor driver and subcontractor activity first thing in the morning.

Once the second planner arrives, you will support the main planning function and be trained to cover holidays and sickness. Strong customer communication skills are essential.

The remainder of the day will involve clerical and administrative duties, including invoicing customers directly from our software platform. Accuracy is critical.

Key Responsibilities

  • Monitor operational activity across drivers and contractors each morning, identifying efficiencies, delays, and backload opportunities.
  • Maintain close communication with customers and subcontractors.
  • Support the scaling of new contracts, including onboarding drivers, coordinating vehicles, and ensuring compliance deadlines are met.
  • Work closely with the planning team and provide cover for holidays and sickness.
  • Post jobs and manage activity on the Haulage Exchange platform.
  • Complete daily clerical and administrative duties, including accurate invoicing.
  • Assist with route costing, fuel costings, and productivity analysis.
  • Support the Transport Manager with compliance tasks (OLAT or Transport Manager CPC advantageous), including:
  • Driver hours
  • Infringement logging
  • Cab checks and height checks
  • Toolbox talks
  • Eye tests
  • CPC tracking
  • Spreadsheet‑based compliance updates
  • Assist with gate check conformities and driver training.
  • Run, help run, or learn to run HR meetings and driver appraisals.
  • Collate PODs from subcontractors and liaise with them daily.
  • Chase new business opportunities and actively target potential sales leads.
  • Develop new initiatives to streamline operations, enhance training, and improve business efficiency.
  • Uphold the highest standards of organisation, security, confidentiality, documentation, and operational accuracy.

Requirements

  • Strong communicator with a pleasant, professional telephone manner.
  • Excellent IT skills, including strong Excel and confident Word/email use.
  • High attention to detail — nothing is left to chance.
  • Sound geographical knowledge.
  • Excellent organisational skills.
  • Ability to communicate effectively with drivers, planners, customers, and colleagues.
  • Able to work in a high‑pressure, fast‑moving environment.
  • OLAT and/or CPC preferred, or strong knowledge of WTD and driver regulations.
  • Experience of 3+ years in a similar transport, logistics, or planning environment.
